We're looking for an experienced Senior Administrative Assistant to join our New York office to support our North American COO, providing high-level support to senior team members and helping keep a fast-paced, global organisation running smoothly.
This is a varied and highly visible role where you'll act as a trusted partner to senior stakeholders, expertly managing complex calendars, coordinating international meetings across multiple time zones, arranging travel, processing expenses and invoices, and supporting key business initiatives. You'll thrive on bringing structure to busy environments, anticipating challenges before they arise, and ensuring everything operates seamlessly.
We're looking for a proactive, organised and commercially aware professional who is comfortable juggling competing priorities, building strong relationships, and operating with discretion and professionalism. Previous experience supporting senior executives within a corporate or financial services environment would be highly beneficial, alongside strong Microsoft Office skills, experience using expense management systems and a collaborative mindset.
- Deliver centralized administrative support across a portfolio of 20+ senior stakeholders, calibrating levels of support in line with individual requirements and business demand
- Manage core administrative functions including calendar management, scheduling, event coordination, and day-to-day operational support
- Own travel, expense, and T&E reporting processes, ensuring accuracy, timeliness, and adherence to internal policies
- Proactively coordinate complex meetings and events across multiple time zones, resolving conflicts and shifting priorities with minimal disruption
- Operate a scalable support model that maximizes efficiency and cost-effectiveness while maintaining a high standard of service
- Act as a trusted operational partner, providing structure, consistency, and reliability across administrative activities
- Extensive experience of working as a Senior Administrative Assistant, preferably in a similar environment
- Excellent organisational skills, strategic proactive planner, proven ability to multi-task and prioritize
- Ability to work under pressure and with conflicting priorities
- Operates with professionalism, honesty and integrity at all times
- Strong systems skills to include Outlook, Word, Excel and PowerPoint
