Role Overview The Executive Administrative Assistant to VP, Digital Operations & VP Digital Transformation serves as a trusted partner and operational anchor, enabling the CDO to lead effectively in a fast paced, global digital environment.

This role goes beyond traditional administrative support, combining strategic calendar management, digital first operations, and proactive problem solving.

The Assistant works cross functionally with senior leaders, technology teams, and external partners while handling sensitive information with discretion and professionalism.

Key Responsibilities Executive & Business Support Act as a strategic partner, managing a complex, dynamic calendar across time zones, prioritizing meetings, and proactively resolving conflicts.

Anticipate executive needs by preparing agendas, briefing materials, action-item summaries, and follow-ups to maximize executive effectiveness.

Digital-first Operations Leverage modern productivity tools (e.g., Microsoft 365, Teams, AI-enabled tools, collaboration platforms) to streamline workflows and improve efficiency.

Support virtual, hybrid, and in-person meetings, including setup, technology coordination, and seamless execution. Maintain digital files, dashboards, and documentation with a strong focus on organization, accessibility, and security.

Travel & Logistics Coordinate complex domestic and international travel, ensuring alignment with Company Travel & Expense policies. Manage itineraries, visas (as needed), meeting logistics, and real-time adjustments to support business continuity.

Process Enablement Identify opportunities to improve administrative, communication, and planning processes using AI and best practices. Partner with other administrative assistants to ensure consistency and coverage across the Digital organization.

Experience & Qualifications High school diploma or equivalent; associate or bachelor's degree in Business, Communications, or a related field preferred. 3+ years of experience supporting senior leaders or executives in a complex, global environment.

Advanced proficiency in Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint) and comfort adopting new digital tools and AI-enabled productivity solutions.

Demonstrated ability to manage competing priorities, anticipate needs, and operate independently. Strong written and verbal communication skills with exceptional attention to detail.

Proven experience coordinating executive travel and complex schedules. Experience supporting technology, digital, or transformation-focused leaders is preferred.
