Full job description

The Executive Administrative Assistant reports directly to the Vice President, Network Management and provides high-level administrative support to the Vice President and the broader Network Management team.

Responsibilities include calendar management, meeting coordination, presentation development, and the execution of advanced administrative functions. The role serves as a backup to the Midwest Provider Contracting Manager team, maintains current knowledge of departmental processes and resources, and supports the onboarding, orientation, and training of new staff.

This position is accountable for ensuring the quality and timeliness of assigned work while maintaining compliance with established processes and deadlines. Working closely with the Midwest Contracting team, the Executive Administrative Assistant helps develop and enhance workflow processes, update procedures, and communicate and implement process improvements across the organization.

- Manage expenses, calendar, email, and communication for the Network Management Vice-President.

- Act as back up phone receiver for members of the contracting team and triage calls appropriately.

- Create reporting and presentations, which monitor goals and objectives for the team.

- Monitor and train new and existing employees on workflows and system requirements. Assist less seasoned employees as necessary.

- Assist team members with ordering of equipment, ensuring appropriate access to all internal systems.

- Assists manager with monitoring and updating system information as needed to ensure contracts are appropriately handled.

- Monitor and distribute emails from group email boxes on a daily basis.

- Contribute feedback and ideas to improve team performance as appropriate.

- Keeps the supervisor abreast of important developments, potential problems, and related information necessary for all job related functions.

- High School diploma required, Associates or Bachelor's degree preferred.

- 3+ years administrative experience in a Managed Care or Health Insurance organization preferred.

- Strong interpersonal skills and the ability to interact well with diverse personalities; Detail-oriented. Displays a positive team attitude and willingness to assist others when necessary.

- Requires ability to communicate effectively, both orally and in writing, and apply judgment in interactions with internal staff, customers, and vendors.

- Clear, concise and courteous telephone manner; portrays a professional image on the telephone and to visitors.

- Genuine interest in people-oriented work; must display a positive and caring attitude towards others.

- Proficient Computer experience with Microsoft Outlook, Work, Excel, and Power Point.

For this position, we anticipate offering an hourly rate of 26 - 39 USD / hourly, depending on relevant factors, including experience and geographic location.
